Using and Organizing 'Manage Files'

 

Manage Files is where you upload and store files such as your Course Outline, Lecture PowerPoints, readings, video, audio, and images. It is important to note that students do not have access to the Manage Files tool. To share files with students, you need to link them to content.

To access Manage files, log into your course and choose Manage Course from the navigation bar and then choose Manage Files from the drop down.

 

To create a folder in Manage Files, select New folder, name it and click Save.

 

Adding, Moving and Deleting Folders

To add a file to a folder, select the folder you want to add the file to, and then choose Upload. Then choose Save.

 

To move or delete a file, select the button, the check box beside the file name and use the cut (scissors) icon above the file list.

 

Icons for copy, delete, download zip are located beside the cut icon. To bulk add files to a course, use the Add content topic (last icon on right).

From Manage Files, you can create new files and manage the ones you have already uploaded:

 

1. View the path where your files are located and use these icons create new files, new folders, paste selected content from the list, or upload new content.
2. Use these icons to cut, paste, delete, download, zip or upload files.
3. Select a file in the folder list to access additional options.

Tips

- It is recommended that you keep your folders cutrure simple.
- Do not go past 3 folder levels, it'll just make it difficult for you to find files later.
- Keep in mind that Brightspace does not allow certain special characters (i.e., \ / : * ? " < > | ) in folder names.
- The structure you create here DOES NOT need to match the structure you created in Content.
- Build a structure that is simple and makes sense to you, so you can easily find your files and replace files with newer versions. A good guideline to follow is to arrange the folers by your course topics (rather than by weeks) as shown in the image below. With this approach, even if you change your Content structure for a future instnace of the course, the folder structure in Manage Files can be kept the same.
- Once you have this structure, keep uploading your files to Manage Files first, to keep it organized.
